Examination Specialist

Responsibilities
- Coordinate the planning and delivery of midterm, final, resit, make-up, and other examinations.
- Prepare examination schedules, room allocations, seating plans, and student examination lists.
- Coordinate examination venues and ensure rooms, equipment, and required systems are ready.
- Coordinate invigilator schedules, assignments, briefings, and attendance records.
- Coordinate the secure preparation and release of online examinations, ensuring the correct examination, course, student group, date, time, duration, and access settings are accurately configured.
- Verify examination platform, student access, equipment, and IT readiness prior to each examination.
- Coordinate approved student accommodations and special examination arrangements.
- Monitor examination-day operations, document and escalate incidents, irregularities, late arrivals, suspected misconduct, and technical issues.
- Maintain accurate examination records, trackers, checklists, and archives.
- Liaise with faculties, course coordinators, IT, Facilities, Security, Student Affairs, and other relevant departments.
- Support the preparation and processing of examination results and related post-examination documentation.
- Ensure all examination activities comply with university policies, confidentiality and data protection requirements, and applicable regulations.
Qualifications & experience
- Bachelor’s degree or equivalent qualification; master’s degree preferred.
- Previous experience in examination administration, higher education administration, or academic operations is preferred.
Competencies
- Exceptional attention to detail, accuracy, and organizational skills.
- Strong coordination and time-management skills, with the ability to manage multiple examinations, deadlines, and stakeholders simultaneously.
- Advanced proficiency in Microsoft Office, particularly Excel, with confidence managing student data, schedules, trackers, and examination records.
- A strong understanding of confidentiality, examination security, and data protection.
- Strong communication and follow-through, with the ability to identify discrepancies and escalate issues appropriately.
